Billing and payments

Charge for your services, send invoices, take card payments with Stripe, and record cash or bank transfers.

This page is about charging your clients. For your own Kennelworks subscription, see Signup, trial and plans.

Set up what you charge

In Money → Billing → Catalogue, add the services you charge for and bundle sessions into packages. Add them to invoices. Turn on Sell online for a package and clients can buy it in Handlr and pay by card; the credits start when it’s paid.

Take card payments

  1. Open Money → Billing → Payments.
  2. Connect your Stripe account and finish Stripe’s setup.
  3. When the status says Taking payments, clients can pay invoices by card in Handlr.

Payouts go straight to your Stripe account. We add a small platform fee to each card payment (1% on Solo, 0.75% on Team for up to 3 trainers, 0.5% on Team for up to 5, 0.25% on Business and Enterprise, never more than £25 or $25 a payment). Stripe’s own processing fee applies as normal.

If the status says Needs attention or Setup not finished, open Stripe from the same page to finish it.

Tax and payment terms

On the same page, set whether you’re registered for tax, your registration number, the standard rate, and how many days clients have to pay.

Invoices

Money → Billing lists your invoices, with what’s outstanding and overdue. Make an invoice, add lines from your catalogue, and send it. The client gets an email and can pay in Handlr.

  • Record a payment for money taken outside the app, such as cash or a bank transfer. These have no platform fee.
  • Issue a credit note to reduce what’s owed, for example for a missed session.
  • Refund a payment to give money back.

Xero and QuickBooks

Open Accounting under Money → Billing and connect Xero or QuickBooks Online. Choose the accounts for sales, card payments and other payments (cash and bank transfers); nothing syncs until all three are set. From then on, issued invoices (including deposits, packages and sales), payments, voids, credit notes and refunds go across as they happen. Disconnecting and reconnecting the same organisation never creates duplicates.

Reports

Money → Reports shows revenue, sessions, dogs graded and new requests, by site.
